Bronze Tier Criteria

Use this page to find out more about each of the Bronze Tier Criteria and how to achieve them. These will be discussed during your development meeting.

1.      Membership of at least 20 members registered through the SU.

It is important that Societies have a core membership to ensure that you are able to run activities and can stay sustainable for future years. Members must be signed up through the website or at the Freshers’ Fairs and will be listed under the Members section of your admin tools.

2.      Committee includes a President, Secretary and Treasurer and all committee members are students of Cardiff University and paid members of the Guild of Societies and their Society.

Each committee must have a core committee of a President to lead the Society, a Secretary to administer the Society and a Treasurer to manage the Society’s finances. All committee members must be students of Cardiff University and a paid member of your Society, as Societies are run for students, by students and by members, for members.

3.      Register all activity with the Union and all participants as Society members or through another SU department or activity.

It is important that all activities are properly registered with the SU for insurance purposes. This includes completing trip forms and risk assessments for all relevent activities and creating events on cardiffstudents.com to identify all of your events. Society membership, ticket purchasing or through Give it a Go are all suitable methods of registering participants.

4.      At least two committee members attend all compulsory training sessions.

Compulsory training takes place at the beginning of the academic year and equips you with the skills you need to run your Society. At least two committee members must attend, but we recommend as many as possible do so and all attendees report back to the rest of the committee. You can sign up for training here.

5.      At least three members attend the Students’ Union AGM.

AGM is our Annual General Meeting and it is important that your Society’s views are represented at this meeting. We vote on affiliations and policies that may affect your Society. Also, Societies receive significant benefits from the SU and therefore should be actively engaged in the governance of the organisation. At least three registered members must attend AGM, with attendance taken on the door. This does not have to be committee members – any paid member can represent all the Societies they are a member of.

6.      Provide feedback on Society experience at Society Forum.

To ensure the Guild of Societies is providing a good level of service for its members and committees, we will offer several opportunities to feed back on the service. Forums take place in the first semester and are your opportunity to discuss what is going well, what is not going so well and how we can make improvements.

7.      Keep all society funds in the Students’ Union bank account and keep a constant positive balance, unless pre-agreed.

A requirement of affiliation to the Guild of Societies is keeping all funds in our Finance Office. We store this money safely and protect against fraudulent activity, offer support and guidance and easily handover financial control to each new committee. It is also important that you do not spend above your means.

8.      Seek approval from the SU for all contracts signed by the Society.

Societies are a part of the Students’ Union and therefore by signing a contract, you sign on behalf of the SU. We need to understand what you are agreeing to and can make sure that you are not being taken advantage of, and can meeting any expectations.

9.      Adhere to a valid constitution, your agreement between the SU and the Society.

A constitution is your agreement with the SU on how you operate as a Society. It is important that this is kept up-to-date and is based on the updated Constitution Template.

10. Submit an up-to-date record of all equipment owned by the Society, using our Inventory Template.

All Society equipment is owned by the SU. We need up-to-date records of all equipment so we can insure them and protect your Society against the loss or theft of your equipment. A new inventory should be submitted annually during handover.

11. Run a democratic committee election, hold an AGM and take minutes of AGM.

Societies are run for their members and therefore must be run democratically. You must host a valid election using our online system and hold a general meeting to discuss your activities over the year. More information about democratic procedures can be found here.

12. Submit all requested documents by the deadlines set by the Societies Team.

Societies have a series of core documents, including Constitution, Equipment Inventory, Risk Assessments, etc. These must be submitted to the SU, normally during handover, to the deadlines set out.

13. Organise at least 2 socials or events per semester, 1 of these being non-alcoholic.

A key expectation of joining a Society is attending events. It is important that Societies offer a variety of events to suit your members, including at least one non-alcoholic event. Events can include training sessions, pub crawls, guest speaker talks, revision sessions and volunteering opportunities.

14. Turn up to allotted stand and adhere to the guidelines set at Societies Fair or Heath Fair.

The Societies Fair is your biggest opportunity to talk to and recruit potential members, with thousands of students attending the Fairs each year. Unless you specifically inform the Societies Team that you will not be attending before our print deadline, you must attend the fair for the duration of the day.

15. Adhere to the Guild of Societies Social Policy.

Please familiarise yourself with the Social Policy; committee members are responsible for ensuring that it is followed during events.

16. Accurate and up-to-date online content on cardiffstudents.com.

Your webpage is your Society’s online base, with sales, promotions, social media, membership and more going through here. It is also a key way to recruit new members. Make sure your webpage is kept up-to-date to reflect what your Society is up to.
