Making a booking
Do you offer bespoke packages?
Yes, we are always working closely with our clients to create packages that best represent their campaign. Please contact us to discuss this further.
How do I go ahead with a booking?
Cancellation
I have made a booking, can I cancel?
When does payment need to be made?
Payment needs to be made within 30 days of invoice or before the live date of activation / media whichever is first.
Can I pay via invoice?
Yes, you can pay via invoice. If you have not worked with us before, you will be required to complete the new customer section on our online booking form for us to add you to our finance invoicing system.
Can I pay via card?
Yes, this is no problem. Please let the sales team know that you would like to pay with card so that we can arrange this for you.
Card payments can be processed over the phone prior to the event. You are also welcome to pop into the students’ Union to pay via card.
Do you offer discount for charities & local businesses?
If you are a registered charity, we will offer you 50% off the listed prices on the media pack. We have a limited number of Charity Freshers’ fair stalls, please see Freshers’ prices for details on this. Please get in touch to discuss this.

What are the artwork specs?

What is the deadline to send media assets?
We require media assets at least 1 week prior to the live date. Anything after this may result in cancellation or movement of the live date.
My artwork is not going to be ready in time for the agreed deadline date.
We know that sometimes things get in the way due to unforeseen circumstances, which may cause a delay in artwork being finalised. Please contact us as soon as possible so we can work something out with you.
If this is less than 1 week before the live date, we cannot guarantee we will be able to reschedule.
What if I am late sending the media assets?
It is your responsibility to ensure assets are sent over in the correct format on time. Any assets we have not received will be considered ‘missed’ and will be non-refundable If you know that you will not reach the deadline, please contact us as soon as possible.

Will you provide evidence that our advert is live?
Absolutely, we will send over either photos or screenshots of any adverts that are live so that you can see them live.

Please confirm these details with the sales team.
Is there Parking?
There is no onsite parking available at Cardiff Students’ Union as we are a city centre location. However, there are several short and long stay public car parks located nearby.
There is also on street parking available in the vicinity with parking meters.

Is there a train station nearby?
The nearest train station is Cathays (Cardiff) – next to Cardiff Students’ Union site.

If you are using our service tunnel, please follow directions to postcode CF24 4AG. The service tunnel is in between Cardiff Uni Sport and Abacws building.
Head to the Welcome Centre on the 2nd floor to sign in.
Are there any vehicle height restrictions?
Please get in touch if you are worried about vehicle height restrictions. There are two ways of getting to Senghennydd road. One way means you will come across a bridge with a Bridge height restriction 14.3 meters.
Is there Wi-Fi available
Yes, we have Wi-Fi. You will be provided with instructions on how to connect on the day. However, we cannot be responsible should there be a problem with connection on the day.
Will I have access to power?
Please let us know in advance of your activation date so that we can accommodate you.
CSU reserves the right to disconnect stallholders from the power supply at any time. Notice of this will be given subject to health and safety requirements. If you have booked a Freshers’ or Refreshers Fair stall, please note that power is not guaranteed.
What is provided in a standard stall?
3x2m trestle table and 2 chairs. Access to power and Wi-Fi.
What day has the highest footfall?
We can’t guarantee footfall on the day of your event. However, please get in touch and we can advise the best day / time of year to visit.
Do you have a service tunnel to unload our goods?
Yes, please arrange with us prior to arrival if you require use of the service tunnel so that we can let our security team know.
Please use the following postcode to access Senghennydd Road (Rear of the building). This is where you can access our service tunnel if you have been allocated a loading bay slot – CF24 4AG.
Can I have our promotional material delivered to Cardiff Students’ Union prior to the event?
No. Unfortunately, we are unable to accept deliveries or store anything due to our limited storage space.
Can I leave anything overnight?
No. Unfortunately, we are unable to store anything overnight due to our limited storage and evening activity.
Can food be handed out at the stall?
Any companies providing ‘food’ samples are to complete a Food Hygiene Disclaimer Notice – please contact
susales@cardiff.ac.uk prior to arrival.
Can alcohol be distributed?
Alcohol samples need to be approved by a member of the sales team. We cannot allow samples to be handed out that have not been approved by Cardiff Students' Union. Please get in touch to discuss this with a member of the team.
Who is my contact on the day of the stall?
Please report to welcome centre on 2nd floor of the SU when you arrive.
