Our five day Freshers’ Fair is a fantastic opportunity to interact and engage face-to-face with students when they first arrive at University. We also have many returning students who get involved, providing you with the chance to reintroduce your brand.

What to expect
What is the expected footfall at the Freshers' Fair?
Last year over 22,000 students attended our fair over the five days.
Are all students invited the the Freshers’ fair?
Yes, all Cardiff University students can attend the Freshers’ fair subject to building capacity.
Booking details
Can I reserve a particular stall location?
The stalls are allocated by the sales team in advance of the fair.
Stalls are allocated by the sales team before the fair. We cannot guarantee specific locations, but we consider your preferences from the Freshers booking form to plan the layout and optimise the experience for both exhibitors and students.
I have booked a standard stall – How big will the stall be and what is included?
Standard stall spaces are 3m x 2m
Includes: 1 table and 2 chairs, queue management must be within your allocated space
Wi-Fi access (details in your welcome pack on arrival), power is on a first-come, first-served
We will NOT be providing backing boards – companies are advised to bring their own roller banners / backing displays.
I have booked a premium stall – How big will the stall be and what is included?
Premium stall spaces are 5m x 4m
1 Table and 2 chairs will be provided, dedicated queuing space outside your stall & priority access to a service tunnel slot
Wi-Fi access (details in your welcome pack on arrival)
Access to power
We will NOT be providing backing boards – companies are advised to bring their own roller banners / backing displays.

Where can I unload for Fairs?
Priority access is given to premium stallholders. If you wish to use our service tunnel to unload, please agree a loading bay time slot with the sales team prior to your arrival to avoid congestion.
Please use the following postcode to access Senghennydd Road (rear of the building) This is where you can access our service tunnel if you have been allocated a loading bay slot – CF24 4AG.
We are attending more than one day of the Freshers’ fair; do we need to take down our stalls?
Unless told otherwise, we cannot store anything overnight and you will be required to take down and set up again each day due to other Freshers’ events happening throughout the week.
How many staff members can I bring along on the day?
Due to venue capacity, we allow up to 4 representatives per stall at any one time. We would be happy if you would like staff members to swap throughout the day.
Can food be handed out at the stall?
Any companies providing ‘food’ samples are to complete a Food Hygiene Disclaimer Notice – please contact [email protected] prior to arrival.
Can alcohol be handed out at the stall?
Alcohol samples require prior approval from the sales team. You must complete and return the alcohol distribution form and follow our alcohol sampling policy. Contact [email protected] to discuss.
Is there any promotional material we are not allowed to hand out on the day?
All activity must be declared to the Sales team via the information form prior to the event. The following items are prohibited and will not be allowed at the fair:
  • Promotion or giveaway of pizza.
  • Any glass.
  • Alcohol (Unless pre approved)
