MINUTES OF MEETING HELD ON TUESDAY OCTOBER 21ST 2006, 5:30PM
1. Exec members present: James Woodroof, Jo Dingle (apologies from Joe Al-Khayat)
2. AU Ball date announced by JW as 21st March 2007.
3. What do you want from AU Council? debate time. (JW)

JW suggested referring to constitution to check out what is meant to happen at AU Council meetings
Representative from Medics Football: Why have the 2nds been allocated Eastern Leisure Centre as home ground? Mentioned he had heard the official line from Marion - about their refusal to merge, therefore they 'forfeited rights', and that there simply isn't space. But thinks ELA is unsatisfactory. JW suggested meeting at another time.
JW asked for more general things, floor remained silent. Suggested taking a look at website.
4. AU Auction to be held at Rubber Duck on Wednesday November 29th. (JD)
Representative from Dancesport questioned the use of 'charity' in the title, if money wasn't in fact going to a charity. Misleading?
oJW explained the removed use of 'slave' in the title, of the night, and reminded the Union IS a charity!
oName/use of 'charity' to be confirmed?
oDecided by floor that 'charity' could be used if money going to charity, but if some going to clubs needs to be clearly defined.
Rowing suggested going 50:50, club:charity.
Vote called regarding the distribution of any money made from the Auction:
All to charity: 350:50: 27All to club: 1
It was therefore decided that 50% of money raised will go to charity and 50% to club.
JW suggested that each club could pick their own charity, but floor suggested that one charity is chosen, and all money goes to that charity.
Suggestions to be emailed to JW, and charity to be decided upon in next meeting.
Men's Rugby suggested a sport-related charity
Men's Rugby questioned how the money would exchange hands.
JW said that himself and JD would draw up rules/conditions - present to AU Council in next meeting?
Tennis asks who bids? - If it is the club paying, shouldn't just the President or Vice President of each club have the authority to buy, instead of, for example, a drunken social secretary.
JW - Clubs bid for clubs
(JD would like to mention here, what if other people in Solus not in AU Clubs want to get involved in Auction We need to find out the best bidding methods/ways to get money from people/decide whether individuals OR clubs are bidding? High importance)
Theme for AU Auction. JD presented the floor with the themes that JD/JW had come up with, and asked for any suggestions (none).
Men's Rugby wanted to clarify whether this was the theme for each club, or the night (night).
Floor wanted to clarify what the theme for Rubber Duck was that week, JW said AU Council got to decide.
Themes presented to Council: Mr & Miss World 2006 (1), Wild West (2), Market Day (3), Job Shop (4), Look-alikes (5), Bond (6).
JW informed Council that AU Awards Ball was likely to follow James Bond theme (as in 2-007) so suggested that people didn't go for that theme.

The AU Exec decided that as the voting was close between Market Day theme and Job Shop theme, new vote with one or the other would be taken. Both JD/JW and the floor also questioned the names given to the themes, so suggestions would be taken following the decision regarding the general theme.

Jobs/occupations theme was therefore declared the theme for the AU Auction,
Suggestions for titles for the night were then brought into play. Suggestions included: occupations, the professionals and what I want to be when I grow up.
Another vote was called:

The Professionals (2) What I want to be (Overwhelming majority).
So it was decided that the theme for AU Auction should be Jobs/occupations and the title of the event be: What I want to be when I grow up.
5. Transport (JW)
Refer to page 2 of Agenda for message from Ali re: keeping minibuses clean/tidy and the consumption of alcohol in Union vehicles being prohibited.
Floor asked whether this included coaches (yes)
Floor asked for brushes and brooms to be provided to clean out minibuses after use, and Rowing asked for black bin bags to be made available when given keys to vehicles. JW said he would report back on both of these items.
6. BUSA clubs requested to stay behind at end, and the fixture number was clarified and given out to all clubs at meeting.
7. The winners of the website competition (judged by new Students' Union website designer) was Rifle Shooting, closely followed in second place by Jujitsu and Rowing.
The Rifle club won £200 for their club.
It was noted that 25 out of 60 clubs entered the competition.
JW said there may be a new website competition next term, so keep all sites up to date.
(And 9.) New competition - for best AU club notice board (on 3rd floor corridor). Winning club gets £100. To be judged in a month's time. JW will send round email with more details to all clubs.

8. Gold gym membership.

Free Circuit Training: Aikido wanted to know about the free circuits for AU members that had been suggested would be happening at Talybont
JW responded: unfortunately this was on the premise that sessions would sell out, so the AU need to make sure the sessions sell out (in order to be funded by University - so encourage people to go!
The sessions will be at 5pm (?) on Mondays
Aikido noted that this Monday's session was in fact sold out.
JW responded by saying he will look into it ASAP. Contact Ed Lewis.
AU Contacts: A member of council (Ultimate Frisbee?) said they had difficulties contacting/being contacted by the AU if they were not President/Treasurer of their club.
JW said, that it was no problem, just to send him an email with contact details, and they would be added to mailing list.
Transport changes: JW mentioned transport request changes, and asked all clubs to be considerate to Marion, and make changes latest on the Friday before matches on the following Wednesday.
Thistle Hotel: JW brought to the Council's attention that the Thistle Hotel were offering discounted Christmas meals to sports clubs, and raised awareness that there was also the possibility of sponsorship from 1 Park Place.
So if any club wanted a 4* hotel dinner at cheaper price - consider Thistle Hotel
The Hotel asks for groups of over 40 people
Attendance: JW highlighted that headcounts had been, and are still being, taken at training sessions.
Some clubs are getting less that 10 people regularly at training sessions.
Unfair on bigger clubs that need more space/time
Considering cutting back sessions for smaller clubs
JW will be drawing up a proposal
Attendance will continue to be checked
Student Council: The members of AU clubs present at the meeting were encouraged to attend Student Council, and to get sport on the agenda!

BUSA clubs requested to stay behind, and were given forms to sign regarding BUSA club charges to cover costs.
The charge is £90 (to come out of club account) for entire season.
Riding, Men's Cricket and Swimming/Water polo requested to sign forms, but there were apparently none available for these clubs. Already signed for?
